This document details the timings of the event, space or room setup, menu selections, audio visual requirements, and how the event will be run.<\/p>\n<p><strong>Black Tie: <\/strong>Required dress is formal; tuxedos for men and evening dresses for women<\/p>\n<p><strong>Business Attire: <\/strong>Required dress is what would normally be worn at the office, i.e., business suits<\/p>\n<p><strong>Casual Attire : <\/strong>Generally considered a middle ground between business formal wear and street wear, but its definition can vary widely among different organizations<\/p>\n<p><strong>Centrepiece :\u00a0<\/strong>Decorative item for the centre of a banquet table.<\/p>\n<p><strong>Concurrent sessions:<\/strong> events happening\u00a0or\u00a0existing\u00a0at the same\u00a0time<\/p>\n<p><strong>Conference pack<\/strong> : a pack of items that could include a schedule or program of events, a map of the venue and information on venue facilities<\/p>\n<p><b>Cut-Off Date:\u00a0<\/b>This date refers to when a facility releases a block of rooms or space.<\/p>\n<p><strong>Day Delegate rate (DDR)<\/strong>: \u00a0is a charge by a venue per attendee, per day for an event, based on a full day\u2019s meeting<\/p>\n<p><strong>Early bird registration:<\/strong> tickets and services purchased before a specified date are available at a reduced fee.<\/p>\n<p><b>Force Majeure Clause:\u00a0 <\/b>This clause is included in most venue contracts to prevent the facility from being held liable should it not be able to hold up to their end of the agreement due to circumstances that are not within the venue\u2019s control. These circumstances include events such as a natural disaster or other \u2018Acts of God\u2019.<\/p>\n<p><strong>Lectern:\u00a0<\/strong>A stand placed at the front of the conference room on which a speaker may rest notes or books. Can be free-standing or table-top and often fitted with a light.<\/p>\n<p><strong>No-show:<\/strong> An expected guest (i.e. delegate, hotel guest, attendee) who does not attend and hasn\u2019t advised the organizer or hotel of a planned absence or delay.<\/p>\n<p><strong>Pre registration:<\/strong> booking onto a meeting or event prior to the day of the event.<\/p>\n<p><strong>Setup and Take Down<\/strong> : process of preparing equipment for an event and taking apart that equipment after the event<\/p>\n<p><b>Waitlist: <\/b>A client is \u2018waitlisted\u2019 when an event, session, or space is fully booked. The inner chairs directly face the front of the room, while the outer chairs may be angled to provide a better view of the stage.<\/p>\n<p><b>Banquet-style: <\/b>Also referred to as \u2018Pod\u2019 or \u2018Round set\u2019, this seating arrangement is designed for large audiences for events such as awards ceremonies and galas, where there are typically round tables of 8-10 guests seated.<\/p>\n<p><b>Boardroom-style Layout: <\/b>Designed to facilitate conversation, preferred for training or committee meetings, this seating arrangement sees delegates seated facing each other around a square, rectangle, oval, or round table.<\/p>\n<p><b>Cabaret-style Layout:\u00a0<\/b>A number of small round tables are laid out with chairs facing the stage area, with a gap closest to the speaker\/performer so that no attendees have their backs to the front.<\/p>\n<p><b>Circle-Style Layout<\/b> :\u00a0Layout arranging seats in a circle, where the inner space of the circle is not used.<\/p>\n<p><b>Classroom \/ Schoolroom Seating: <\/b>Rows of square or rectangular tables and chairs all face the stage or podium, directly facing the speaker or screen.<\/p>\n<p><b>Conference-style \/ Hollow Square Layout:\u00a0 <\/b>Also referred to as \u2018board-of-directors set-up\u2019 or \u2018boardroom set-up,\u2019 a room will feature chairs arranged around a table, with everyone facing in for a discussion. If there are too many participants to fit around one boardroom table, several tables may be used. Hollow square means that there is space in the center between the tables.<\/p>\n<p><b>Reception-style:\u00a0 <\/b>Designed to encourage participants to network and a common set up during a cocktail reception. This system allows companies to manage their interaction, event attendance history, and communications with their clients in an organized way.<\/p>\n<p><strong>Front Projection\u00a0 :<\/strong>\u00a0A projection system which includes a projector unit and a separate screen.
